We have a KIP to do our large format prints, and a Bizhub for our 8.5x11 to 12x18 color & b/w prints, so the associated costs (bills from vendors) are entered

This is an area where QuickBooks falls short - it is hard to track "soft costs". For those committed to QuickBooks for this I recommend either (1) allocate

I don't know if this will help but enter a credit to my overhead for the amount of the expense total. When transferred to QB it creates a "0" bill. Good Luck!
