Bruce,
I typically do all my formatting of numerical data in the forms and
reports themselves. It sounds from your post that you are setting
the format in the table. I'm not sure if those settings are
inherited by the controls on your forms and reports. Try setting it
in the textbox control and see if you get the desired results.

Problem with number field. In table design, I specified the Number
type for a field, set its format to General Number, its field size to
Long Integer and decimal places to 2, with lookup set to Text Box. On
testing it in form view, I found that after entering a large number
and moving focus, the box showed no commas or decimals. When I
returned to the field and entered another number, the results were
the same.
I then changed the number format to Fixed and left everything else
unchanged. On testing it in form view, I found that after entering a
large number and moving focus, the box showed decimals but no commas.
When I returned to the field and entered another number, the results
were the same. Whenever I entered non-zero digits after the decimal
point, they displayed properly as long as focus was in the box, but
on moving focus 2 zeroes reappeared after the decimal point. The
pennies were lost no matter what I did.
Finally I changed the number format to Standard and left everything
else unchanged. On testing it in form view, I had the same results as
with the Fixed format except that commas were displayed.
What I want is for the Number type to give me same results as the
Currency type but without the dollar sign. I've tested a Currency
field and it works fine. It shows commas and decimals, accepts and
retains digits after the decimal point.
I am using Access 2002 under Windows 2000 but the database is in
Access 2000 format.
I hope you can help. Thank you very much. I am new to Access, a
retread from years with dBase.

No ADO samples. I have stuck with DAO in all my work, and my site is based on actual work done for clients, thus it is all DAO. It should not be very hard to convert to ADO. The concept stays the same.

It's pretty straightforward, open a recordset with ADO, add a new record
unless the user is editing an existing record, then assign the values of the
fields = values of the textboxes. You can then update the recordset (ADO
recordsets, unlike DAO recordsets will update automatically unless the
update is cancelled, but it's a good idea to explicitly save the updates I
think).
That's pretty much it, if you need help with ADO recordsets there's plenty
in the Help files.

You need some method of initiating the insert - usually an 'Update' or
'Save' button.
Attached to that button will be the code required to validate entries and
actually create the new records.
Remember that nothing that the user has entered on the form is saved until
you run this code.

Looks like
a job for a cross-tab query. I
don't know how you are determining if the room is booked or not so you'll have
to edit this code, but maybe using a refresh button to requery, you could use the
form's AfterUpdate event to loop through the controls and change the color (or
in your case colour) to whatever you wanted.
Private
Sub Form_AfterUpdate()
Dim ctrl As Control
For Each ctrl In Me.Detail
If
ctrl.ControlType = acTextBox Then
'If the box is booked make it red.
If ctrl=true <> 0 Then
ctrl.BackColor = vbRed
Else: ctrl.BackColor = vbGreen
End If
End
If
Next
End
Sub

I have two fields in a table all i want to do is display a
graphical preview of the data on a form ie a list of dates across the top and list of rooms down the side, and if a room is booked on a date in the table a red box or something similar would appear next to the room thats booked in the table else a green box to show date in question is free.
My present line of thinking is some how use an excel work sheet and place on form. or would i just link to excel and if so how would excel pick up and make sense of the data.
I know what i would like to achieve but not sure the best way to achieve it or access or excel capable of doing it.
Any thoughts or pointers would be appreciated

There are
lots of ways to do this, but the simplest way is to make the table the Record Source
of the form. Open the form in design view and then open the properties box.
You'll see the first line is Record Source. Click on the line and then click on
the drop down arrow. It will give you a list of all the tables in the database.
Select your table.
Then each
textbox can have a field in the table as it's Control Source. Select it the
same way you selected the table.
By
entering data in the textboxes, it will automatically be entered in the table
when you close the form or move to another record by using the record
navigators (those arrows at the bottom of the form |< < > >| >*)

your question...yes, you can use Access with a web page front end. Your forms

Web Designer in need of assistance
Hello. I am an intermediate-level web designer who is possibly
going to design a site that involves database content. I have no experience with this and I am really needing some help. Question, client wants:
Database for daycare substitute project. 1. Create an interactive full year calendar for 25 substitutes that is web enabled for substitute and provider input w/usernames & password access. 2. Ability to make reservations for substitutes for fiscal year on- line. 3.Auto-response to sub. notifying reservation has been made. 4.Possible form "pop-up" or "scroll down" for
completion to make reservation. 5.Searchable by criteria. i.e. dates desired – ed. levels of sub., classroom experience.
Is this possible with Acess (XP in my case). Obviously they would have to have Access installed on the ISP's server but I do not know if Access capable of what I described. Any thoughts on how I might go about this if this is doable.
Most sincerely appreciated,
Michael

If you are
basing the calculation on one employee at a time, you could use a DLookup() on
the employee table to find what department he/she is in. Then use a Select Case
statement to determine the rate.
Let's say
Office is Dept 1. The ones with 10 hrs are depts. 2, 3 and 4. Security is Dept

This is
the reason why you never store the data in the front end. There is no easy way to
make changes without risking the loss of data.
Instead of
trying to distribute the entire db maybe you can just export the objects that
have been changed.

How do I sent the revised database?
I have an access 97 db, that generates reports, some of which are
about 1000 lines.
Most users are well versed with the use of Excel, its tabs, and its
filters etc.
So I have created my reports as tables in Access and I have been able
to use the "Transferspreadsheet function to create the multiple tabs.
My problem is that I'd like to put some explanatory text at the
bottom of each output sheet. Is there a way get this done?
I tried using Named Cells, and then linking them that overwrites the
explanatory text.
I have create to tables as U will see it in the attached MS Access file with this email...Frist tabel for items, price & QTY...I need in Form "Additem" to calculate all "Quantity in Table items....
Hi all,
How can i delete a constraint from an access .mdb file ?
The problem is that i don't know the name to give the relationship, because
i added it using the Relationshipsdialog in MSAccess.
Now i need to remove it, using code.
I found this statement ...
ALTER TABLE <tablename> DROP CONSTRAINT <nameOfConstraint>;
... but i can't figure out what to put in for nameOfConstraint.
Any tips would be greatly appreciated !

Re: Secured database - help!
Annie,
This might be a shot in the dark because I don't know your level of proficiency with Access-level security. But if, in the process in instituting Access-Level Security, you created your own .mdw (workgroup) file to hold the security information, then you can no longer open the database the ways you were used to (double-clicking or file->open). You have to create a shortcut to do it for
you. The shortcut needs to have this structure:
"C:\Program Files\Microsoft Office\Office\MSACCESS.EXE"
"[Location of .mdb File" /wrkgrp "[Location of .mdw file]"
Here is an example: "C:\Program Files\Microsoft Office\Office\MSACCESS.EXE" "c:\test.mdb" /wrkgrp
"c:\Security.mdw"
This string is in the Target portion of the Shortcut.
If you knew this already and are doing this and getting your problem then disregard this post. But if you aren't doing this, then try it before you give Bill Duke's suggestion a shot.

The article will take you step by step
through securing the database. Getting locked out of your own db is painful.
Oh, and always make a backup of the db
with the unsecured default workgroup...just in case.

You're absolutley right about the log on
and cryptic password. It is 20 alpha-numeric chartacters long.

The last
section of the report has a listing called Users: Usually the last
user is:
Name :
Admin and Access assigns a cryptic password to this user automatically if
you do not specify one on your own when you secure the database.
For
example it might read:
User:
Admin
Password:
eboqq0TFUavt
That's
your password to log on as the user Admin for that database.

I do have the prinited report - just not sure how to use it.

I had this happen once with a database secured by someone who had
left my company. As a last resort after contacting him and pulling a
clean copy of his workgroup file that wasn't corrupted, I imported all of the
objects from the secured database into a new blank database structure that used
the default workgroup. Afterwards I reassigned permissions for every
object in the new database and secured it again. It worked since the
developer had left open the ability to import and export objects.
It's best from my standpoint to use the user level security wizard
and make sure you print out the report the wizard provides in case this happens
in the future.
Good luck!

Did you leave Admin in the
Admins group and do you have the password for Admin? If so, then log in as
Admin and put yourself in the Admins group. That should give you all the
permissions.
If not, is there anyone
else in the Admins group who can log in and reset your permissions?

By any
chance is the datatype being converted by Excel? If it should be text and Excel
is reading it as numeric that might be causing the problem.

Exporting to Excel
Good afternoon! I hope someone can help me with this because
I am fixing to pull my hair out. Here's the scenario: 16 caseworkers enter data directly into an Access database on a laptop computer. They then export the files out to Excel and transmit those files to a central location via email. The central location then pulls all of the individual files into one large file. After that, the central location exports the new "complete" file back out to Excel and emails to me.
Here's the problem: When the caseworkers export out to Excel the data is being changed. For example, if code 999 is entered in the database, it comes out as 368 on the Excel worksheet. If code 888 is entered, it comes out as 367 on the worksheet. But, (there always has to be a but doesn't there?) once you put the files back into Access, the codes show up as they were originally entered. Okay, so now I have to bring the data into a statistical package called SPSS. Only, SPSS won't bring Access directly in so I have to export to Excel. But, if it is bringing in the wrong stuff, then my data is corrupted. Has anyone ever experienced something like this? Any ideas?
Thanks in advance. Angelic Manor

Just a
little comment... "Private db as database" would be better written "Dim
db as DAO.Database" even in Access 97. It makes for a smoother upgrade
when the time comes.

RE: [Access VBA Central] Upgrading from Access 97 to Access 2000
Private is indeed supported by Access 2000, the problem is most
likely that you no longer have a reference to DAO in your Access 2000 database, ADO is the default object library. You can either modify your code to make
it ADO compatible or add in the reference to DAO under Tools -> Refernces in
the VBE Window.
