Hello,

I have been working with Crystal 10 since March, so I can't speak for
every feature.  Most of the report upgrades will upgrade with a
simple save.  I discovered that the SQL Queries cannot be edited in
Crystal 10.  You may need to rework some reports to get around this
limitation before you upgrade the report.  There are probably some
3rd Party tools, but I haven't found one.

I noticed that sub-reports run much slower in 10 than 8.5.  I some
cases, I could change the main report and sometimes I had to learn to
live with it.

If you have Non-Expandable users running "compiled" report feature
from 7.0, 8.0 & 8.5, you need to find another solution.  This has
been dropped. The Report Manager inside Expandable is great but you
need a license seat to run the reports.

Enterprise Manager will let you web deploy reports but it gets
expensive quickly.  Buying Crystal reports for every one is not
cheap. There are quite a few 3rd Party Viewers available that do a
good job.

From a non-techical perspective, you need to create a stategy for
reports.  Crystal 8.5 still runs quickly and works well outside
Expandable. But, you have to keep the versions separate.  Once it is
saved in Crystal 10, you can't open it in 8.5.  Will you convert
everyone over to Crystal 10 or will you continue to use some areas
with 8.5?  Be prepared with the right licenses.

This thread actually caused some confusion in-house for us so I
thought I would reply to everyone.

You only need a copy of Crystal 10 to manage the internal reports
within Expandable.  For reports managed outside of Expandable you are
still able to manage those reports with 8.5.  Because of licensing
and familiarity and the number of custom reports we use, this is the
way we manage things for our Crystal reports.  We have a seperate
network folder were we maintain our reports in Crystal 8.5.

Also as a side note.  For those of you who are using SalesLogix or
have Crystal XI R2.  We have been able to edit and maintain the
Crystal 10 reports with this version.  I actually prefer using
Crystal XI over Crystal 10 because it seems more stable. If they
would only give us the ability to edit the SQL statement things would
be great.  This is not officially supported by Expandable and I have
to put in the caveat that you use this option at your own risk - but
as I said, I haven't had a problem yet.

I was wondering if anyone was using crystal reports XI?  This seams like a great price for it.  Also it seams like there is now a Free downloadable report viewer you can install with crystal XI to share your reports with other issues and avoid some licensing fees.

Just a side note,  We at Austin Semiconductor are getting ready to upgrade to 8.1.3 so we have inquired about Crystal XI.  Expandable came back to me yesterday and said that they are looking at having it in 8.4 “hopefully”  by the end of the year.

I have been using Crystal XI for over a year with SQL tables and it
works fine for me but It is not used with Expandable.  As Ted_sturr
already said, it is not yet supported by Expandable but it seems that
you can maintain the crystal 10 reports with it.

I believe the report viewer is in Beta stage right now.  I tested it
and it does not seem to support all crystal features yet.  It allows
you to read pre-generated .rpt only.  You cannot refresh a report.  It
is the same approach as Adobe's PDF viewer.
It will be useful when you want to send a .rpt to someone in its
original format i.e. not in Excel or pdf.  The end user will be able
to download the viewer for free and see the groups tree and drill-down
on it.
There are other solutions out there for less than $50. where you can
view and refresh .rpt.  I did not try those.-

So you’re saying that there have been problems with the reports that are delivered with Expandable?  That’s useful to know.  I expected that new report files that were already tested with Crystal 10 would be delivered with the 8.1.3 upgrade.

Cheryl:  We upgraded to 8.1.3 and Crystal 10 this past weekend.  It went better that I expected.  IT had some issues with the install process but that was generated by our last IT guy not the Expandable upgrades.  The any issues so far have been with the reports and the new tables.  Users come across reports that now generate errors and I go in and run them in Crystal and they are okay.  Only one has had a problem that did not fix easily  ICRCWP.  Cycle count worksheet by part and I have asked Expandable for help with this one.  The issues have been minimal.

Hi Jenelle,

 

There was no response from the user group, but I called and talked with Expandable Support.  According to the person I spoke with, for most reports it will be enough to open the report in Crystal 10 and then save it.  However, some tables have changed, so there may be some reports that will need editing for that reason.  Also, we have some reports that use old functions that were available only in earlier versions of Crystal, so we may need to make changes on those.  However, I'm hoping that we'll just be able to move the old dll for that function into the appropriate folder and continue to use it (as we did when we moved to Crystal 8.5).

We just completed the upgrade to 8.1.3 last week.  Our previous
upgrade was all the way back in February of 2006 when we went to 8.1.1.

The reason we waited so long was because the upgrade process is (to be
blunt) a PITA.

If Expandable made the process as easy as Microsoft's Service Packs,
I'd almost certainly apply patches as soon as they come out.

Plus, the requirement to buy a new copy of Crystal Reports annoyed us,
which added to the delay.

Hi Jan,
When we process downgrading ECOs, a significant amount of time is spent
identifying the unique BOM components that can be downgraded along with the
"Parent" model number/part number.  For every part number, you must drill
down through all levels of the BOMs and search the "where used" to
determine if that part is only used on this model and can therefore be
added to the affected items on the ECO.  Once you have identified all the
unique parts, you then must check stock status, look for any open purchase
orders and open sales orders.  Then you have to determine the material
value for all items being scrapped and add that to the ECO.
We could realize a siginicant time savings if there was a query that
searched through the BOMs, performed a where used, and if the part was only
used on that assembly, would then populate a list of those unique items.
Then, the query output would create a table that included the stock,
supply, and demand quantities.
Then, of course, it would add up all the scrap dollars and give you a
total.  This then could be imported into Agile and create the affected
items list.
For complex product BOMs, this would save many hours of manual work.
  Anyway, that is what I want for Christmas.......

My company is converting from an ancient Expandable 5.3 DOS based
system over to SAP.   I've been asked to figure out how to make the
Expandable system "read only".

I received advice from Expandable, but this was based on newer
versions and doesn't seem to apply to 5.3.    The advice is below:

"All of the Expandable Programs Acronyms have the 3rd character as a
significant character.  i.e. I's = inquiries, E's= editors, R's are
reports."

"So to freeze you data, from the Rights Editor.  Main Menu, go to
System/Security/Rights Editor.  Remove all of the check marks for
Run, Add, Delete, Modify from all programs which have a T or U as the
3rd Character.  Remove the check mark from the Add, Delete, Modify
for all programs which have I, E or R as the 3rd character.  So for
these programs you will only have the Run checked."

We don't have a rights editor - but I can assign passwords in XXEPW.

I'm not sure the 3rd character rule applies to the older version of
Expandable - some seem to follow and others don't.

I've currently got 9,000+ passwords in the system.

Unfortunately, we don't have an Expandable admin or anyone who knows
the system.   I'm tackling it because I used to run an Epicor Dataflo
system for years before we converted to SAP...

For inquiry, you can add a password for the editor but do not add the password for the “File” in XXEPW.  Example: Add a password to the Parts Master Editor (ICEPM).  You can make it “ESI”.  To change data, you would need a matching password “ESI” for the file (ICFPM).  You will not need to add this password. Add passwords for all editors, reports and inquiries. For Read-Only you would not add passwords to Transactions or Utilities (third digit is “T” or “U”).

Subject: [ieuga] Making Expandable Read Only - very old version

 


My company is converting from an ancient Expandable 5.3 DOS based
system over to SAP. I've been asked to figure out how to make the
Expandable system "read only".

I received advice from Expandable, but this was based on newer
versions and doesn't seem to apply to 5.3. The advice is below:

"All of the Expandable Programs Acronyms have the 3rd character as a
significant character. i.e. I's = inquiries, E's= editors, R's are
reports."

"So to freeze you data, from the Rights Editor. Main Menu, go to
System/Security/Rights Editor. Remove all of the check marks for
Run, Add, Delete, Modify from all programs which have a T or U as the
3rd Character. Remove the check mark from the Add, Delete, Modify
for all programs which have I, E or R as the 3rd character. So for
these programs you will only have the Run checked."

We don't have a rights editor - but I can assign passwords in XXEPW.

I'm not sure the 3rd character rule applies to the older version of
Expandable - some seem to follow and others don't.

I've currently got 9,000+ passwords in the system.

Unfortunately, we don't have an Expandable admin or anyone who knows
the system. I'm tackling it because I used to run an Epicor Dataflo
system for years before we converted to SAP...

If you've got any advice at all... please!

Thank you to Bill, Bill, and Jan for your advice and help (especially
Bill H. for 'fixing' our password file) .   We have our system cutover
to SAP and the old Expandable DOS system appears to be locked down to
read only.  I added a password fo one program this morning - XXUDSP -
in order to clear hung users.

So far it's working great.

I can't thank you enough.

To give us a real time look at parts availability when we enter an order, I have written an Excel macro in Visual Basic (VBA) to explode a bill of materials and compare the lowest level to the parts in our inventory.  To do this, I access the Expandable data base with an SQL inquiry. 

I am trying to find a way for this to run automatically, without someone having to start the SQL query and then start the macro.  The only way I have thought of so far is to run the SQL query from within the VBA macro.  I know this is possible, but have not figured out how to write the connection string, which would look something like:

ConString = "ODBC;DSN = [some sort of code for Expandable data base type]....."

1)  Does anyone have experience with how to do this, or an alternative way to automatically run SQL and a macro from Excel?

2)  Is there anyone else who would like to be able to tell at time of order whether enough raw materials are in inventory to build the product?  It is possible that Expandable could be persuaded to add this feature to a future release if it is a common concern.

We have a problem with Expandable users neglecting to logout at the end of their session. This ties up licenses that are unused and unavailable to other users. The expandable password timeout feature only activates a password prompt when activity resumes.  It does not free up the license.
 
Has any one devised a clever script to determine when a specific user ID has been inactive?
 
And then perhaps an even more diabolical scrip that logs that user ID out after a specified inactive period and frees the license for other users?
 
And if so, how did the users feel about getting logged out for inactivity?

Hi, this is Jenelle at Austin Semiconductor.  Unfortunately I was never that creative.  The users must have gotten tired of me telling them over the intercom “If you are not currently using Expandable, please log off.”  That happened quite regularly at first, but I bet it has been at least a year since I have had to make that announcement.  I know this isn’t any help but thought I would respond anyway.

We use a program called Autocloseidle. It is cheap and works well closing expandable sessions as well as other applications after a period of inactivity. It is client server based and allows you to monitor and set longer times for power users and short times for occasional users which helps with the complaining. You just have to remember to install it on new users when you set them up.

There is not much to it. You install the main control on a server and the clients on all the users PC's. You can set the timeout value for each user. From the admin, you can view how long someone has been idle and also force them off manually (no more mass emails, phone calls or announcements over the PA). There is an option that we don't use which allows clients to bump off the longest idle client if they can't get on. We also disable the ability of the admin to interact with the client screen - it is not required to close an Expandable session. The only lesson we learned was to make sure you set super-users like finance who may run a month end report which takes hours to either never expire or to very long timeouts. For the casual user like an engineer or operator who logs on, does a query, and forgets to log off, it is terrific. Here are the features right off their web site.
 

Features and benefits:

  • Monitors only the application in question, not other applications activities.
  • Shows users names, computers names, and the idle time for each user.
  • Centrally manage all users.
  • Most options can be specified per user.

  • The idle time shown is accurate to the nearest second under typical network conditions(no cable, disconnect from Internet problems).
  • Closes the user's application remotely by a single click.
  • Closes the most unused copy of an application remotely by a single click.
  • Clients see a clock like icon in the task bar and the time remaining before closing the application.
  • Allows users to manually notify the administrator in case they can't login.
  • If enabled, users can close the most unused application directly, without the network administrator intervention.
  • Allows the administrator to see the user's screen and interact with the application remotely to respond to any validation dialogs.
  • Remotely update Auto Close Idle software without visiting each computer.
  • Works with Windows 2000 and 2003 Terminal Servers, with or without Citrix.
