ATTN: Lex users and librarians
SUBJECT: Save/Export and Backup

A customer asked about the procedures for saving MARC records, and backing up data files

A. SAVING MARC RECORDS

In LexWin you click on File--Save/Export, then in the dialog box select MARC format.

In Lexifile (DOS) you click on OUTPUT--SAVE--MARC

In both cases you get to choose between TAGGED-ASCII, USMARC, and USMARC-MicroLIF

If you select TAGGED format you get an ASCII version suitable for editing in a word processor, or a text editor like notepad or Wordpad. It is not true MARC but it is a very common format for editing purposes:

TAGGED ACII:

USMARC

If you select USMARC format you get a true USMARC export that looks like this but all on a single line:

00980nam  2200313   4500001002100000005001300021008003900034010001600073020001800089082001600107090001400123100003500137245008200172260002500254300002400279520017900303650001400482650001300496650001600509710004300525900001400568901001200582902001200594903001000606904002100616905001400637906000800651999000700659   77017024  AC r812200312200852771031s1978    nyu    j b    00110 eng  a77-17024 AC  a0-07-031645-70 a362.2 9219  a362.2 HYD10aHyde, Margaret Oldroyd,d1917-10aAddictions :bgambling, smoking, cocaine use, and others /cMargaret O. USMARC-Micro-LIF

If you select USMARC-MicroLIF you will get a format that IS Marc, but uses an 852 field to code elements such as call numbers, barcodes, copy numbers, etc so that other management systems can import this information in a meaningful way.

B. BACKUP DATA FILES

In LexWin click on Tools-Backup and specifiy the source and backup filenames and paths.  You are given the option to delete the "append" file.  That is a file of new entries made since your last backup,  so that you could restore

LAST BACKUP + APPEND FILE   =    CURRENT FILE BEING REPLACED

If you backup to floppy disks, LexWin will prompt you when to insert a new floppy.  The opinion of the writer is that floppy diskettes are almost useless as media for backups, they are too small, and not dependable enough.  Use a Zip disk or write to a CD.

In Lexifile click on FILE--BACKUP then specify the source and destination files on the next two screens.

Hope this helps,

Hi Jim:

In case I want to export, for instance, 50-100 records in MARC format and save them on a floppy, how do I do it? Sorry for the goofy question ...:) but I would appreciate an answer..

Actually I am not sure about backing up either -
Thank you very much.
